Privacy Policy

Last updated 25 October 2026

Lanes is a board app for iPhone, iPad and Mac. Your boards live on your devices and in your own iCloud. This policy explains that, and the few things the Lanes server keeps when you turn on Slack, meeting tasks or AI agents.

The short version

  • Your boards, cards, notes, photos, files and comments are stored on your devices and in your own iCloud. We can't see them.
  • You can use Lanes without an account. If you sign in with Apple or Google, we keep your name, email address and an account id so the optional features work.
  • Slack, meeting tasks and AI agents send some board or meeting information through the Lanes server. Each is off until you turn it on, and what we keep for them is deleted when you stop using them.
  • No ads, no analytics, no tracking, and we never sell your information.
  • You can delete your account and everything the server holds about you from the app at any time.

Who we are

Lanes is made in Melbourne, Australia. In this policy "we" and "us" mean the developer of Lanes. You can reach us at support@lanesapp.com.au. We follow the Australian Privacy Principles in the Privacy Act 1988.

Your boards

Everything you put on a board (board and lane names, cards, notes, checklists, photos, attached files, comments, labels, due dates and repeats, colours, the people a card is for, and the card and board templates you save) is stored on your device. If iCloud is on, it syncs through your own private iCloud account so it's on all your devices. That is Apple's service under your Apple Account. We have no access to it and keep no copy.

If you share a board, Apple's iCloud sharing gives the people you invite a copy of that board, including the names of people who take part. You can stop sharing, or leave a shared board, at any time.

Your choices for today's most important tasks are kept in your iCloud too, so they follow you between devices.

If you add Lanes widgets, Lanes keeps a small copy of what they show (card titles, board and column names, due dates and counts) on your device for them. Card titles and board names are also added to your device's search so you can find them from Search and Siri. Both stay on your device, are never sent to us, and are cleared when you sign out.

If you use Lanes on Apple Watch, your iPhone sends your watch a small copy of what it shows: today's most important tasks, what's due, and each board's open cards with their checklists (no notes, people, comments, photos or files). It goes straight from your iPhone to your watch through Apple's own connection between them, never through us, and the watch replaces it with each update.

Calendar

If you allow it, Lanes reads your calendar so the Dashboard can show your meetings next to your tasks, and so you can link a card to an event. Your events stay on your device and are never sent to us. The names of calendars you turn off in Lanes are kept in your own iCloud, so your other devices leave out the same ones. You can turn off access in Settings at any time.

The Assistant

The Assistant and other AI features (summaries, turning a list into cards, breaking a card into steps, picking tasks from a meeting) use Apple Intelligence. They run on your device, and for longer work they can use Apple's Private Cloud Compute. Apple says information sent to Private Cloud Compute is used only for your request, isn't stored and can't be seen by anyone, including Apple. Nothing from these features is sent to us. If you use AI agents, the Assistant also reads the notes your agents saved, on your device.

Signing in

You don't need an account to make and use boards. An account is needed only for meeting tasks and AI agents. Slack Lists work with or without one. You can sign in with Apple or with Google. When you do, we receive and keep:

The app keeps its session in your device's Keychain. Signing out ends the session, removes that device from your account and deletes the copy kept for AI agents.

Notifications and background updates

Card reminders are scheduled on your device. If you're signed in or have linked a Slack List, your device sends us its Apple push notification token so the server can wake Lanes to update a board in the background, or tell you a meeting's tasks are ready. We delete a token when Apple says it's no longer valid, when you sign out of that device, or when you delete your account.

Slack

If you add Lanes to a Slack workspace and link a Slack List to a board, the Lanes server keeps:

Lanes reads and writes only the Lists you link. It does not read your messages or channels. Changes you make in Lanes are sent to Slack, and stay there under Slack's own retention. Unlink a board, remove the workspace in Lanes, or remove the Lanes app from your Slack workspace, and what we kept for it is deleted.

Meeting tasks from Google Meet

If you connect Google and allow Lanes to read your Google Meet transcripts, the Lanes server checks for new Google Meet transcripts about every 15 minutes, using read-only access. For each meeting it keeps the meeting's start and end times and the transcript text with the names people showed in the meeting (people who joined by phone or anonymously are shown as "Guest"), encrypted and limited to 30,000 characters. Your device reads the transcript to suggest tasks. We delete each meeting after 30 days. Signing out stops the checks until you sign in again. To stop them for good, delete your account, or remove Lanes' access in your Google Account's security settings; your meetings are then deleted with your account, or after 30 days.

Transcripts can include what other people said. Only turn this on for meetings where that's appropriate, and tell the people you meet with if your workplace expects it.

Lanes' use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. We use Google data only to show you tasks from your own meetings. We don't use it for ads, don't sell it, don't let people read it, and don't use it to train AI models.

AI agents

If you turn on "Let AI agents use my boards", your device uploads a copy of your boards to the Lanes server: board and lane names, card titles, notes (up to 4,000 characters), checklists, the last five comments with their authors' names, who each card is for and due dates. You can limit this to chosen boards. The copy is encrypted.

When you connect an AI agent (such as Claude), you sign in and choose whether it can view, move or edit, and which boards it can use. The agent then receives the board and card information it asks for. What happens to that information next is up to the agent's provider and their privacy policy, and we can't delete it from their side. Changes an agent asks for are kept for up to 7 days until your device applies them, and each one shows in the card's activity with the agent's name.

An agent with Move or Edit access can also save short notes for the Assistant, such as why a card matters or when something is due. Each note is encrypted on the Lanes server, shows in Lanes under Profile, AI agents, Notes from agents, where you can delete it, and is sent to your devices so the Assistant can read it there. A note is deleted 90 days after it was last saved, or when you disconnect the agent that wrote it.

Turn the switch off, sign out, or delete your account, and the copy, the agents' access, their pending changes and their notes are deleted. A copy that isn't updated or used for 30 days is deleted automatically.

Security and server logs

The Lanes server runs on Google Cloud (Firebase) in Sydney, Australia. All traffic is encrypted, the database can't be reached from outside the server, and sensitive data is encrypted again before it's stored.

Our own logs record which part of the server was used and any error code, never names, emails, board content or tokens. Google Cloud's request logs also record the IP address of each request. Logs are kept for 30 days. Encrypted backups of the server's database are kept for up to 30 days, so deleted information is fully gone from them within 30 days.

Who else handles information

We don't sell or rent information, and we don't share it with advertisers or data brokers. These services handle information as part of how Lanes works, each for the feature you use:

Some of these may process information outside Australia. We may disclose information if the law requires it.

No ads, analytics or tracking

Lanes has no advertising, no analytics, and no third-party tracking or data-collection code. We don't track you across other companies' apps or websites.

Deleting your information

Access and correction

You can ask what we hold about you, or ask us to correct it, by emailing support@lanesapp.com.au from your account's email address. We reply within 30 days. If you're not happy with our answer, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Children

Lanes isn't directed at children under 13, and we don't knowingly collect information from them.

Changes

If we change this policy we'll update the date at the top. If a change affects what we collect or how we use it, we'll say so in the app before it takes effect.
